Portfolio Administrator – Wealth Management | Scottsdale, Arizona

Reference Number: HRJ7875
Location: Scottsdale, Arizona

Judson Group is proud to partner with a fast-growing, independent wealth management firm in Scottsdale in search of a Portfolio Administrator who will play a critical role in powering the firm’s investment operations.

With ~$1.2B in client assets, this boutique firm has built its reputation on precision, discipline, and an unwavering commitment to delivering a high-quality client experience. At the core of that experience is clean, accurate, and reliable portfolio data—and that’s where you come in. This is a firm that doesn’t treat portfolio administration as a back-office function. It’s viewed as a strategic capability and a competitive advantage. From performance reporting to trading support to data integrity, the Portfolio Administrator is essential to ensuring that everything runs seamlessly behind the scenes—so advisors can focus on clients with complete confidence.

If you’re someone who understands how portfolio data flows across systems, enjoys solving complex data challenges, and wants to take true ownership in a growing, high-performing environment, this role offers the opportunity to make a meaningful and visible impact with lots of room for growth opportunities.

Why You’ll Love This Role:

  • You’ll sit at the center of the investment engine—where data, trading, and reporting meet.
  • Your work will directly influence client experience and portfolio accuracy.
  • You’ll have real ownership and the ability to improve systems and processes—not just maintain them.
  • You’ll be strategic with portfolio construction, performance reporting, and trading operations.
  • You’ll join a growing firm where your contributions are visible and valued.

What You’ll Be Doing:

  • Own and maintain the integrity of portfolio and client data across systems (Tamarac, CRM, custodians).
  • Reconcile accounts, transactions, cash, and performance—identifying and resolving discrepancies proactively.
  • Set up and manage client accounts across custodial platforms.
  • Maintain and enhance security master data, ensuring consistent classification across all systems.
  • Partner with the investment team on asset classification, benchmarks, and reporting accuracy.
  • Support trading activity, including cash management, rebalancing, and trade reconciliation.
  • Audit performance results, investigate outliers, and ensure accurate methodologies (TWR vs. IRR).
  • Produce clean, accurate, and client-ready quarterly reports.
  • Improve workflows and build scalable processes to reduce manual work and minimize errors.
  • Act as a go-to resource for data-related questions across the firm.

What We’re Looking For:

  • 3–7+ years of experience in investment operations or portfolio administration.
  • Bachelor’s degree in Finance, Computer Science, or a related field.
  • Professional certifications (or interest in pursuing them) are a plus.
  • Strong understanding of portfolio accounting, performance measurement, and data flows.
  • Experience with Envestnet/Tamarac, PortfolioCenter, or similar systems (preferred).
  • Familiarity with custodians such as Schwab and Fidelity, and CRM platforms.
  • Advanced Excel skills and comfort working with complex datasets.
  • A sharp eye for detail paired with a proactive, problem-solving mindset.
  • Strong communication skills—you can clearly explain issues and solutions.
  • A collaborative, team-first attitude with a high level of accountability and ownership.

Compensation & Benefits:

  • Competitive base salary
  • Comprehensive benefits package
