As Operations Manager, you are the firm’s operational leader and Integrator—ensuring a seamless team experience, exceptional client experience, and efficient, scalable processes. You’ll support and guide a strong existing team, act as the CEO’s partner in implementing the firm’s vision, and ensure nothing falls through the cracks. You lead with calm, clarity, and accountability, and you know how to get things done.

What You’ll Be Doing:

  • Foster an excellent team experience and ensure operational efficiencies across the firm.
  • Evaluate performance, training needs, and maintain up-to-date documentation.
  • Support hiring, onboarding, training, coaching, performance management, and role clarity.
  • Oversee PTO, salary/bonus recommendations, and corrective actions when necessary.
  • Oversee client communications, meeting prep, follow-up, trading/rebalancing, money movement, and paperwork processes.
  • Ensure accurate quarterly reports are sent in a timely manner.
  • Provide backup client service support and resolve escalated issues.
  • Train teams on compliance topics and ensure adherence to policies and procedures.
  • Develop/implement new compliance procedures and serve as the primary liaison with compliance consultants.
  • Oversee timely completion and submission of required filings and fees.
  • Own CRM accuracy, workflow development, reporting, and automation.
  • Oversee marketing initiatives and strategy, online presence, client events, and firm events.
  • Serve as primary contact for office tech and equipment issues and continuously evaluate new technologies for the firm.
  • Oversee accurate quarterly fee billing.
  • Review expenses and discuss budget observations with the CEO.
  • Manage vendor relationships, performance, contracts, and fees across the firm.

What We’re Looking For:

  • Travel to home office in CA quarterly is required.
  • Bachelor’s degree (advanced degree preferred).
  • Minimum 5 years of experience with an independent RIA or broker-dealer.
  • Minimum 5 years in an operations or client service management role.
  • Series 65 (or willingness to obtain).
  • Strong communication skills and deep knowledge of financial services and regulations.
  • High proficiency with technology; familiarity with Schwab systems a plus.
  • Experience in compliance, trading, or financial planning is ideal.
  • Proven ability to streamline processes, implement new systems, and enhance team efficiency.
  • Comfortable making decisions, giving feedback, having tough conversations, and empowering others.
  • Highly organized with exceptional time-management skills.
